PaperCut MF 26.0.6 Sharpens Shared-Printer Sign-In and Scan-to-Cloud Controls

PaperCut MF 26.0.6, released on October 26, adds a set of focused improvements for organizations that manage shared printers, card-based authentication and document scanning. The update does not replace the platform’s core print-management model. Instead, it addresses several points where users and administrators interact with that system every day: signing in at a shared device, receiving scan notifications, navigating the user portal and diagnosing server issues.

The release is identified as build 76873. Its published component information lists Print Provider version 111.3.5.9855 and Print Deploy server version 1.10.5004. For IT teams running PaperCut MF or NG, the changes are worth reviewing as part of the normal maintenance cycle, particularly where devices are installed in libraries, schools, healthcare facilities or other shared environments.

Authentication prompts now take focus automatically

One of the most practical changes affects the PaperCut User Client on shared workstations. When an unauthenticated or anonymous print queue triggers the authentication prompt, the popup now automatically takes focus. A user who needs to authenticate with an ID card can swipe the card immediately instead of first having to click the popup window.

That may sound like a small interface adjustment, but it removes a recurring point of friction in busy print rooms. On a workstation used by many people, a prompt that opens behind another window or waits for a mouse click can lead to repeated attempts, confusion or calls to the help desk. Bringing the prompt forward makes the next action clearer and helps the card-based workflow feel more consistent.

The change does not remove authentication or change an organization’s access policy. It improves how the prompt appears when authentication is required. Administrators should still test the behavior with the actual card readers, queue configuration and workstation setup used at each site.

Scan-to-cloud notification settings behave more consistently

PaperCut MF 26.0.6 also updates the existing “Disable notification for completed scans” setting. The setting now prevents confirmation emails from being sent when users scan to supported cloud destinations, including OneDrive, SharePoint and Google Drive.

This matters in organizations where a scan workflow already confirms completion through the device panel, a cloud destination or another internal process. Duplicate email notifications can create noise, especially when employees scan many batches during the day. A clearer relationship between the setting and the cloud destinations makes it easier for administrators to manage the amount of email generated by routine document capture.

Teams should review their current notification policy before changing anything. The update concerns the completion email, not the underlying scan job or the destination itself. A useful test is to run a small scan to each cloud service in use, confirm that the document arrives correctly, and then verify that the notification behavior matches the organization’s preference.

Accessibility improvements reach several user pages

The release improves screen-reader and keyboard accessibility across the Summary, Transaction History, Web Print and Recent Print Jobs pages. PaperCut also describes clearer text alternatives and page structure for the activity chart on the Summary page, along with filters on Recent Print Jobs that are easier to use with assistive technology.

These changes are important because print-management portals are operational tools, not just administrative dashboards. Employees may use them to review recent jobs, check account activity or submit web-print requests. Better keyboard navigation and clearer screen-reader output can make those tasks more predictable for people who do not rely on a mouse or who use assistive software.

More useful startup information for administrators

On the diagnostic side, the server debug log now records the host system’s total memory at startup. That gives administrators another piece of context when investigating performance or configuration problems. It does not diagnose every slow-printing incident by itself, but it can help support teams understand the server environment alongside queue activity, service status and other log entries.

The release also clarifies documentation for external database card ID lookup, including how to enable the feature and protect the database credentials used by PaperCut NG or MF. Administrators who rely on an external identity database should review that guidance rather than treating stored credentials as an ordinary configuration detail.

What to check before rolling out the update

A measured rollout is still the safest approach. Start with a small group of shared workstations and confirm that authentication prompts appear in front of other windows. Test card-reader behavior, then run scans to the cloud destinations used by the organization and verify the notification setting. Ask users who rely on keyboard navigation or screen readers to check the affected portal pages.

Administrators should also retain the usual pre-update backup and change record, review the release notes for their installed version and monitor logs after deployment. Environments with custom authentication or database integrations deserve particular attention because local configuration can affect how a software improvement behaves in practice.

PaperCut MF 26.0.6 is a maintenance-focused release, but its changes address visible user experience and supportability issues. For organizations with busy shared printers, cloud scanning and card-based access, those small improvements can reduce friction across a large number of daily transactions.
